Exquando is a leading information governance and management company assisting organizations to manage, digitize, and organize business data. The company has delivered document management on construction projects for owners such as Belfius, Solvay, GSK Vaccines, Union Chimique Belge (UCB), Univercells, Takeda, and Eurogare.

Like Bricsys 24/7, Exquando is in the business of ensuring the right information is with the right people at the right time. When a client’s project team needs supporting systems and tools within a common data environment, Bricsys 24/7's construction data cloud has been Exquando’s go-to solution since 2013.

The Challenge

In 2019, UCB, a global biopharmaceutical company, began building an environmentally sustainable biological manufacturing facility in Belgium. This project was a significant and strategic investment on their Belgian site. To consolidate the construction documentation for the 17,000 m2 plant, UCB chose Exquando to begin the complex task.

Challenge #1: Fast and efficient construction data cloud for late-stage deployment
Exquando needed to deploy the CDE solution quickly for the construction project, joining later in the build. The Exquando team had to collate inputs and deliverables from hundreds of stakeholders across different professions and trades.

Challenge #2: Intuitive to use for multi-profession users
Exquando was compiling and managing all the as-built documentation from the various stakeholders on the construction. With hundreds of users also in the office and field, Exquando needed a construction data cloud that would be accessible and user-friendly.

The Solution

To understand the before and after Bricsys 24/7's implementation, we spoke to Sabine Boël, Document Management Expert at Exquando, responsible for deploying Bricsys 24/7 on UCB’s project.

Reining in the chaos
Before Exquando introduced Bricsys 24/7 as the project’s CDE, Sabine described the need to stop “chaos, with documents everywhere” and provide “a space dedicated to documents.”

Bricsys 24/7 is a cloud-based application, so the project’s users had easy access via a standard web browser. The set-up was straightforward and made easy with the flexible folder structures of Bricsys 24/7.

With a simple setup and flexible access for unlimited users, Exquando implemented Bricsys 24/7 as the final CDE in less than one month.

User-friendly, intuitive adoption
Adding new technology to a live project is challenging, often bringing more issues than it solves – software deployment, integration into the existing tech stack, and onboarding and training unaccustomed users. Sabine described the 150 users:

“Pretty much everyone on the projects uses Bricsys 24/7, people in the field, people in the office, the engineers, and at least one person from each discipline are on the platform.”

Sabine explained how Exquando onboarded and trained users progressively, building the user base to where it is today. Sabine said the adoption was not complicated because the “platform is super user-friendly.”

Sabine said users were very impressed with the built-in viewer in Bricsys 24/7 and added that the search function was excellent, saying:

“You click on the search, and ok, right, that’s the document you were looking for ... It’s cool.”

Bricsys 24/7 is the destination for all the project’s compiled documents for all stakeholders. Exquando has created two areas for documents in Bricsys 24/7; one for the as-built records and another as a collaboration area for the engineers to review, approve, and finalize documents.

The power of Bricsys 24/7 as a common data environment will streamline handing over the building at project close-out. The platform will continue providing timely and accurate data and documentation for the owners during the transition from construction to facilities management.
